Bali luxury charter FAQ: terms, services and sailing

The contractual answers concierges and family offices ask for before commissioning, then the sailing questions: phinisi prices, guests, routes and inclusions.

Deposits and cancellation

If plans change.

Every threshold below is written into the master service agreement.

Deposit
Fully refundable up to 60 days before arrival, less a 5% administration fee once the itinerary is locked. Inside 60 days it is non-refundable, except for documented force majeure.
Balance and final
Cancelled before the 30-day mark: full refund minus the deposit. Between 30 and 7 days: 50% of amounts paid. Inside 7 days: no refund, except documented force majeure.
Force majeure
Tier A (immediate-family illness or bereavement, regional disaster, geopolitical disruption): full refund less supplier costs incurred, typically 5–15% of trip value. Tier B (extended-family illness, business-critical event): 70–80%. Tier C (discretionary): standard matrix.
Weather
If a yacht or helicopter day falls outside published operating limits, it is re-routed to an alternative without rebooking penalty. The captain or pilot makes the safety call, not the principal.
Insurance
Travel insurance and medical evacuation stay with your own provider. We can recommend one, and earn no commission on insurance.
Confidentiality
A mutual NDA in every master agreement binds all forty operating partners and their staff. We can sign your office’s own template instead.

On request

Services beyond the boat.

01

Ground security

A single low-profile agent, a detail of three (advance, principal, drive), or six with an on-call medic. All hold international close-protection certification.

02

Airport fast-track

Met at the ramp or gate; immigration cleared in 8–15 minutes. Included in Tiers 2–4, or a Tier 1 add-on at USD 600–900 per arrival or departure.

03

Michelin-starred chef

A 2–4 day guest-chef programme with 2–3 tasting dinners. USD 12,000–28,000 plus flights, suite and groceries at cost. Allow 45–90 days.

04

Vow renewal

A private booking at one of three sacred-water temples, a celebrant or priest, florals and four hours of photography. Legal paperwork stays with your lawyer. Allow 21–45 days.

05

Bespoke programming

A private gallery viewing, a marine-biologist guide off Nusa Penida, a cycling tour of the Jatiluwih rice terraces. Most specialists need 30–60 days’ notice.

06

Trip director, 24 hours

Reachable by phone, WhatsApp and email from arrival to departure. Overnight, non-emergency replies within 60 minutes; emergencies immediately.

Every guest

Planned around the people travelling.

Dietary needs
A written brief records allergies by severity, preferences from vegan to kosher, and observances. Every chef receives it; the trip director checks each menu 24 hours before service.
Mobility
About 20% of Tier 3–4 engagements include a guest with mobility considerations. We choose single-level or elevator villas, wheelchair-ready vehicles, stable boarding platforms and side-step helicopter boarding.
Children
A child-trained crew member on yachts, a lifeguard at villa pools for under-12s, and activities designed by one of three Bali child-programme coordinators.
